Interlibrary Loans

The Interlibrary loan is a reciprocal borrowing system that allows libraries worldwide to borrow and share materials, for the most part, without a cost to our students, staff, or faculty. Valid/current students, faculty, and staff may request research items from all types of libraries, (Academic, Public, Institutions, etc.), without cost, in Indiana.

There may be a fee when requesting an item outside of Indiana. When research items are discovered, that OCU does not own, and the prior criteria is verified, requests may be submitted through OCU’s interlibrary loan system.

The practice of Interlibrary Loan in the United States is governed by the conditions set by the Interlibrary Loan Code of the American Library Association and by the regulations of individual lending libraries. International resource sharing outside of the United States is governed by the International Federation of Library Associations and Institutions’ International Lending and Document Delivery: Principles and Guidelines for Procedure.

What is PALShare?

PALShare is a system that was created by PALNI as a patron driven initiative that allows direct contact to PALNI libraries. This process increases the guarantee of delivery, speeds up delivery time (items received within 3 to 5 days), and extends the time limit for patron use (60 days for books, 14 for media). The PALShare system is made up of 24 universities and encompasses nearly 4 million items from which to choose. However, as was stated above, those who are allowed to use this system must be valid/current students, faculty, and staff of Oakland City University.

How many items and what type of materials can I request?

The answer to this question will depend on class standing and past behaviors. For the most part, however, the loan policy will be as follows; keep in mind that the number of items allowed includes the pending requests, received requests, and items being returned. So, for instance, if you have been given a limit of 25 items and you currently have 5 items out, 10 items waiting for a response, and 2 on the way back to the owning library, you still have 8 items that can be requested.

These items are for research purposes only. Faculty limit: 75 – this is per semester and includes books, media, articles, and (in some rare cases) artifacts

Staff and Graduate limit: 50 – this is per semester and includes books, media, and articles

Undergraduate limit: 15 – this is per semester and includes books, media, and articles

How do I know if I have a library account?

You can check on your library account here or by contacting the library.

When verifying your account online, your username is the last 5 digits of your student ID#. If you do not remember your password, you can click on the forgot password link below your username and create a new one.

If you do not have an account, the system will give you a “Username is invalid” message. When this happens, go to the upper right-hand corner and click on the registration link that best fits your category and complete the form. You will receive a message from the library staff as soon as your account is created.

If you do have an account but the system tells you it has expired, just contact the library at 812-749-1269 or [email protected] (do not submit another WUFOO form, please!) and one of the staff members will update your account and send you a message to let you know that your account is reactivated.

What does it cost to use ILL?

Due to funding provided for Interlibrary Loan services, faculty, staff, and students of OCU are able to borrow items (books, articles, media, etc.) free of charge. The only cost that one might accrue would be that of a lost or damaged item, late fees, or, if you request items outside of Indiana, (ex. Print books, media, or artifacts), there will occasionally be the cost of delivery and return.

May I request items myself or does it have to be done by library staff?

If you are requesting print books from PALNI, you can do that yourself simply by clicking on the title, then on the PALNI link, and follow the directions. You do have to be logged into your account to make the request, however, even on campus.

If you are requesting articles that we do not own or books and media that we nor PALNI owns, click on the title then click on the “Request Item through ILL form” link, complete the form and submit it to [email protected] so we can submit the request.

How will I know when the items arrive?

If you requested your book or media from PALShare, the system will automatically send you and email letting you know it is here.

If you requested items from Indiana Libraries or Libraries Worldwide, the Assistant Librarian or the Director will send you an email letting you know it is ready.

How do I return books and DVDs?

All you have to do is bring them into the library and let the staff know that you are returning items to InterLibrary loan.

How long can I keep the items?

If your item is from PALShare and you borrowed a print book, you can keep it for 60 days. If you borrowed media, (CD, DVD, etc.), you may keep it for 14 days. This is longer than most regular ILL requests and is pretty much written in stone. Occasionally they will let you renew but that is very rare.

If you borrow through ILL from Indiana libraries or libraries Worldwide, the typical time frame is around 30 days, depending of that particular library’s policies. Sometimes they will allow you to renew your items and sometimes they will not, again, that depends on the policies.

May I borrow textbooks?

Yes, you may borrow textbooks. However, most universities will not allow you to keep them for an entire semester and, if you do not return them on time, you stand a good chance of losing your ILL privileges. If there is more than one copy available, you could request the item from another library once you have returned the first item back to us. Keep in mind, however, you are limited as to the number of ILL requests you can make.

May I request materials, (books, CDs, DVDs, etc.) for entertainment use?

Due to the costs associated with ILL, the cutback in delivery days, a very limited staff for InterLibrary Loan processing, and per the decision of the Educational Resource Committee, any requests for items, other than research material, will be greatly limited. At this time, the number of non-research items that can be requested is 2, and at least 1 of those items has to be on its way back to the owning library prior to any additional request.

Do I have to return articles?

No, you may keep your articles as long as you need them. However, keep in mind that, due to copyright laws, you cannot copy, print and/or share your articles for others.

How do I request an account?

The first thing you would do is go to the Discover page, https://intranet.oak.edu/library/Discover.html . At the top right-hand corner of the page, there is a list of library registrations. Choose the one that best fits your status and click on that link. Complete the form provided (pay close attention to the requirements) and submit it when you are done. We will receive your request, create your account, and send you information on how to create your password. Will I be able to receive assistance with my account/research during breaks?

Yes, Library hours, and contact information are available at the bottom of each page.

How will I know when my items are due back?

With PALShare items, the amount of time you have will be on the temporary label that is on the item. With regular ILL items, there will be a slip of paper either on the front or inside of the item. You will also receive emails letting you know when your due date is approaching.

Will I be able to renew my items if I am not done with them?

That depends on from where you received your items. As stated earlier, PALShare items can typically be kept longer but cannot be renewed and ILL libraries, generally, will allow you to extend your time.

Can I request ILL items if I am a community patron?

The ILL services that have been purchased are for Oakland City University’s valid/current faculty, staff, and students only. The cost of these services is, while reasonably so, high and the ILL library staff is not large enough to keep up with the demands of community patrons. The Oakland City community does, however, have a capable and very friendly staff running the public library who would be more than happy to assist their community.

Can I take ILL items home during breaks?

Yes, as long as you make certain your loan period is long enough to last over your break. Remember, if you are late getting your items back, you will, at best, have a fine to pay and, at worst, lose your borrowing privileges.

What would happen if I lost or damaged an ILL item?

That depends, somewhat, on the system that was used to request the item. Also, the exact cost of the loss of an item cannot be known until there has been an assessment of that item by the owning library. However, for the most part, the process will remain the same, whether it is from PALNI or Libraries Worldwide. You will be charged a fee to replace the item, possibly (probably) a service fee and you could, depending on how often this has happened, lose all ILL privileges.
